Senior Office Assistant, Student Financial Services

Job Goal

Performs specialized support work in the accounts receivable/student finance area.

Essential Duties and Responsibilities

The following duties are not exhaustive but illustrate the general duties required of the position. Management may require personnel to perform duties other than those contained in this document.

  1. Prepares, maintains, and processes accounts receivable documents for third parties and students.
  2. Verifies all billing documentation and prepares appropriate invoices for third parties and students.
  3. Assists the Manager of Student Financial Services in the processing of 1098T forms.
  4. Prepares entries and performs data processing for Title IV and other student account charges.
  5. Prepares check documentation for refunds to third parties and students.
  6. Prepares tuition reimbursement receipts and other correspondence necessary to third parties and students.
  7. Assists college staff, students, and vendors in resolving problems relative to Accounts Receivable/Student Financial Services functions.
  8. Reviews various monthly reports to assist with the follow up and collection of delinquent third party and student accounts.
  9. Processes all write-off accounts in the college’s ERP system.
  10. Maintains miscellaneous scholarship files and student scholarship records.
  11. Prepares paperwork for the State Attorney’s office for the recovery of returned checks and posts returned checks to the student’s account.
  12. Performs other duties as assigned.

Knowledge, Skills, and Abilities

Testing Required:

  • Data Entry 1 – Vendor: 6,200 keystrokes per hour (KPH) with 95% accuracy
  • Basic Math: 70% accuracy

Preferred Qualifications

  • Associates degree from a regionally accredited institution
  • Experience in using a computer and PC software applications such as Excel, Word, and Access
  • Previous experience working in the area of accounts receivable
