Job Goal

Provides administrative assistant services to the Office of Institutional Effectiveness.

Essential Duties and Responsibilities

The following duties are not exhaustive but illustrate the general duties required of the position. Management may require personnel to perform duties other than those contained in this document.

  1. Performs exceptional customer service, as department receptionist, for students, employees, and the public; performs clerical organizational duties for department staff including, but not limited to, providing information, taking meeting minutes, organizing committee meetings, and maintaining office calendar.
  2. Maintains, prepares, distributes, and files department communications; responds to requests for College data and information in a variety of formats; adheres to the code of ethics established by the Association of Institutional Research.
  3. Maintains accurate department financial records; reconciles expenditures and budgets; purchases department supplies; reconciles and files purchase card transactions and travel requests for the department; maintains department contracts and investigates vendor issues.
  4. Coordinates use, maintenance, and repair of department scanners, printers, and other hardware.
  5. Maintains contact lists and role-based access for institutional effectiveness systems; provides basic troubleshooting and assistance to College personnel requiring assistance with institutional effectiveness systems and processes.
  6.  Assists the Coordinator of Institutional Effectiveness with preparing and processing course and instructor evaluations.
  7. Locates, compiles, and summarizes data and information as requested. This includes creating spreadsheets, data tables, data-entry, information tracking and compiling periodic reports.
  8. Performs other duties as assigned.

Knowledge, Skills, and Abilities

  • Must be able to perform a wide variety of general office duties, with emphasis on confidentiality, clerical skills and accuracy in keyboarding
  • Possess Word processing skills

Additional Required Skills:

  • Keyboarding: 45 net words per minute (NWPM) with 95% accuracy
  • Data Entry 1 – Vendor: 6,200 keystrokes per hour (KPH) with 95% accuracy
  • Proofreading 1: 70% accuracy
